The Organisation

Newcastle Airport is the second busiest airport in the state. It is jointly owned by the City of Newcastle and Port Stephens Council, and it is Australia’s largest airport remaining in public ownership, with all distributions returned to the communities which it serves.

Newcastle Airport is a dynamic enabler of the aspirations and operations of the businesses and communities within the region.  It is a global transport gateway, providing vital infrastructure for the region, supporting the tourism, import and export economies within Australia and internationally. 

In the last year, the airport has secured more than $60M in Federal funding for an upgraded international airfield.  It has connected to 6 new destinations, including Cairns and Adelaide, with Singapore now in sight. It has expanded its world class Defence and Aerospace precinct, brought forward major works on its 2036 Masterplan and was recently named 2021 Major Airport of the Year.

In May 2020, the NSW Government named Williamtown as the location for a new special Activation Precinct. The Astra Aerolab is being developed as a globally significant Defence and Aerospace precinct adjacent to the Airport and RAAF Base Williamtown. It has secured significant investment and support from all levels of government and is set to ultimately deliver 5,500 new jobs and global connectivity, providing access to world-leading education and learning, remarkable spaces and experiences.

The Opportunity

The Corporate Services Administrator / Personal Assistant's role is to assist the Executive Manager Corporate Services & CFO (EMCS & CFO) in ensuring the smooth operation of this Executive Manager's portfolio, which includes but is not limited to Finance, Human Resources, Information Technology, Governance, WHS Risk & Safety departments.

You will play a key organisational role, handling everything from managing an executive’s personal schedule to assisting with the preparation, formatting, and distribution of Board papers. The position requires a high level of professionalism, efficiency, and effectiveness in providing exceptional customer service and administrative support to both internal and external stakeholders. You will work closely with the Executive Assistant to the CEO and assist her as needed.

You will be responsible for managing the EMCS & CFO credit card reconciliations and ad-hoc reporting as required as well as accounts payable, including processing of purchase orders, invoices, and accounts. You will complete any other duties within your skills and abilities as required by the EMCS & CFO and the Executive Assistant and assist in the provision of reception responsibilities (shared across the business), including answering the phone and other general ad-hoc reception tasks.

About You

You are a highly organised self-starter with an ability to work across multiple activities with good time management skills. You are polished and professional in your verbal and written communication skills, and your attention to detail is your strength. You are an expert in the Microsoft Office Suite and have prior experience with document control, correspondence documents, and presentations.

You are confident, friendly and a strong team player who strives to contribute to an environment that embraces constant change and innovation. 

Essential

  • Degree qualifications in business or related discipline 
  • Great interpersonal skills, well presented with a high degree of professionalism and judgement with the ability to maintain a high level of confidentially and professional standards of behaviour in difficult and sensitive circumstances.
  • Well-developed liaison skills, including excellent communication skills with a range of stakeholders
  • Strong time-management skills and the ability to prioritise and coordinate daily workload
  • Demonstrated writing and advanced MS Office skills
  • Sound capability in PowerPoint documentation preparation
  • A proactive, collaborative mindset and demonstrated capacity to work independently and within a team environment
  • Demonstrated strong reasoning skills and proven strategic thinking capabilities
